This Privacy Policy explains how Exergy (“we,” “us,” or “our”) collects, uses, stores, and protects your information when you use the Exergy Support Forum at support.exergyheat.com. This policy applies only to the forum. Other Exergy products, services, or websites have separate privacy practices.

When You Register or Post

  • Optional profile information: display name, bio, avatar/photo, location, or website (if you choose to add).

  • Forum activity: posts, replies, likes, topic views, and search queries (to improve support and moderation).

When You Browse (Even Without an Account)

  • IP address and basic server logs (e.g., pages accessed, timestamps).
  • Browser/device info (e.g., browser type, screen size) via server headers.

We do not collect payment details, physical addresses, or sensitive personal data.

2. How We Use Your Information

We use your data only for forum operations and support:

  • Verify your email and manage your account.
  • Display your posts, replies, and profile.
  • Send automated forum emails (e.g., new reply notifications, daily/weekly summary recaps if you opt in).
  • Prevent spam, abuse, or violations of our Terms of Service.
  • Improve the forum (e.g., fix bugs, optimize performance, analyze usage trends internally and anonymously).
  • Respond to support requests or legal obligations.

We do not use your data for marketing, advertising, or sell it to third parties.

3. Cookies and Tracking

We use only essential session cookies to:

  • Keep you logged in.
  • Remember your preferences (e.g., theme, notification settings).

These are strictly functional — no analytics, advertising, or tracking cookies are used.

  • Access controls (only authorized Exergy staff).
  • Regular backups (encrypted).
  • Security monitoring (intrusion detection, updates).

No system is 100% secure, but we follow industry best practices.

7. Your Privacy Rights

You control your data. You may:

  • Access your profile, posts, and activity.
  • Edit or delete your posts/profiles via forum settings.
  • Export your data (posts, messages) using Discourse’s built-in tools.
  • Delete your account (via settings or email request) — this removes your profile and anonymizes posts.
  • Opt out of recap emails in your preferences.
  • Request data deletion (we’ll remove personal data within 30 days, subject to legal retention).

Global users: You have rights under GDPR, CCPA, or local laws. We honor valid requests regardless of location.

8. Children’s Privacy

The forum is not intended for children under 13. We do not knowingly collect data from anyone under 13. If we learn a user is under 13, we will delete their account and data immediately.

9. International Data Transfers

The forum is hosted in the United States. By using it, you consent to your data being transferred to and stored in the U.S.

For non-U.S. users (e.g., EU/UK): We rely on Standard Contractual Clauses (SCCs) and your consent for cross-border transfer. You may withdraw consent, but this may limit forum access.

10. Changes to This Policy

We may update this policy. Changes will be posted here with the new “Last updated” date.

Material changes (e.g., new data use) will be:
